myDailyTasks Privacy Policy

Email Add-on Catalogue (Next-build Preview)

The email add-ons can optionally use an exported catalogue of client, project, subject and topic names, IDs and parent relationships. The export contains no task text or billing data. Outlook stores the imported catalogue in this browser’s add-in storage; Gmail stores it in Google Apps Script user properties for your account. Remove Catalogue clears that add-on’s saved copy. Refresh it by exporting and loading a new copy. Selecting a record sends its ID with the task handoff; the app validates it against current records before saving. The Gmail HTTPS handoff can place task fields and selected IDs in browser history and hosting request logs.

Overview

myDailyTasks helps you plan daily work, rituals and weekly reviews across your devices. Your plan can sync through iCloud, with on-device storage used as a fallback when iCloud is temporarily unavailable.

This policy describes version 1.2, including Study and Pollen Alerts, and Apple Watch features. Feature availability is distinct from App Store distribution.

Who We Are

Cyber AI Insights Pty Ltd (ABN 79 636 345 036), based in Victoria, Australia, operates myDailyTasks and is responsible for the personal information it collects and holds through the website, support mailbox, newsletter process and optional Pollen Alerts service. Pollen processing is described below; it does not give us access to your private planner content.

Data Stored By The App

myDailyTasks stores the task information you create inside the app, including:

• Task titles, scheduled dates, recurrence settings, priorities, tags, details, URLs, and completion state.
• Rituals, completion history used for weekly review and insights, carryover state, and preferences.
• Notification preferences, appearance preferences, App Lock state, and Premium subscription status.
• Client and project assignments, time-entry start and stop dates, original client and project labels, billable status and notes.
• On the Watch app, focus session state, first-step cues, interruption notes and display choices are kept locally on the Watch.

Information you enter in task titles, details, tags, goals, or support messages may reveal personal or sensitive information. You decide what to enter, and should avoid including information you do not need in the app or a support request.

How Data Is Used

Your data is used to provide app features, including:

• Showing day views, Smart Lists, rituals, and weekly review.
• Calculating current-week and Premium 12-week insights locally from existing task and completion history.
• Syncing tasks across your devices when iCloud storage is active.
• Supporting widgets, Live Activities, search, shortcuts, Focus settings, notifications, and handoff between devices.
• Scheduling reminders you choose to enable.
• Unlocking the app with App Lock when you choose to enable biometric protection.

Apple Intelligence

Task Start Assistance is optional and off by default. Its settings, action routing and reminder receipts stay on the device. Generic notification previews are the default. Optional reminder history retains identifiers and times for up to 30 days, with one- and seven-day options. Clearing that history disables assistance; only today’s aggregate consumed prompt count remains until the next day. Work-time history is separate. No new server analytics are sent.

On supported devices, optional planning assistance uses Apple's on-device Foundation Models. Suggestions are reviewed before use. Task content is not sent to a developer-operated model service.

Data Collection And Sharing

myDailyTasks does not require a developer account, sell personal information, show third-party advertising, or track you across apps or websites. Core planner content is not sent to a developer-operated service. The optional Pollen Alerts add-on uses a dedicated forecast service, described below. Its privacy manifests declare coarse location, purchase history and an opaque subscription identifier for app functionality, linked to the subscription and not used for tracking.

The Weekly Review and Premium 12-week insights are product features, not developer analytics or telemetry. Their summaries are calculated on device from task history already stored by the app. myDailyTasks does not use a third-party analytics SDK, create a tracking identifier, or send task content or insight results to the developer for this feature.

At ordinary launch, the iPhone, iPad, Mac, and Apple Watch apps register with Apple's remote-notification service to support CloudKit change delivery. This can occur while the optional myBudgetCanvas bridge remains off. myDailyTasks does not operate a push-notification server, retain a device push token, or send a copy of the registration to Cyber AI Insights Pty Ltd.

When iCloud storage is active or you use Siri, widgets, notifications, WeatherKit, Apple Intelligence, or purchases, Apple processes the information needed to provide those services under Apple's terms and privacy policies. Cyber AI Insights Pty Ltd does not receive a separate copy of your private iCloud task content through a developer-operated service. If app integrations, analytics, advertising, tracking, or developer-operated services change, this policy and the app's privacy disclosures will be updated.

Calendar Commitments And Event Actions

With your permission, myDailyTasks reads selected calendars already connected to Apple’s system Calendar app. Events remain read-only and their details stay in memory on that device. Calendar permissions and selections are separate on each device, including Watch.

If you explicitly use Plan for Event, the event title and note text you choose become ordinary task data, included in backups and private iCloud sync when enabled. The association between the event and task stays on the device and contains identifiers, an optional occurrence anchor and the action kind. Event notes are never copied automatically or sent to Apple Intelligence.

Optional Apple Health And Medication Connections

On supported iPhones and iPads, Import from Apple Health requests access to the medications you choose. Imported names and RxNorm identifiers, together with doses you enter, stay in this device’s local catalogue. Medication matching is local; no medication search goes to RxNorm or another web service. New presets sync opaque selection and completion identities through private iCloud; older medication Rituals can retain previously saved names and doses.

A configured myHealthRoutine medication handoff can include name, dose, RxNorm code, occurrence identity and completion or reopen action through a same-device App Group file. Reopening can send a removal action for that occurrence. Manage records already accepted by myHealthRoutine in that app.

Configured BP Rituals also exchange opaque task and reading identities, dates and completion timestamps through a local file excluded from backups. Checking a Ritual creates a checklist note, not a measurement. Reading values and notes are excluded. The myHealthRoutine switch controls this local exchange.

On iPhone and iPad, Complete BP Rituals from Apple Health separately requests read access to systolic and diastolic data. Only correlations recorded by myHealthRoutine are matched. The planner retains reading identity and date for duplicate prevention and the resulting task completion; it does not copy blood-pressure values into task storage, CloudKit, analytics or URLs. Apple Health manages its permissions and any Health iCloud sync.

Time Records And Apple Watch

Time entries, client/project assignments, billing labels and notes are planner data, included in complete backups and private iCloud sync when enabled. Export Timesheet CSV is optional and saves to a destination you choose. A running timer remains recorded until stopped; stopping it does not complete a task.

Client rates (hourly or daily), hours per day, GST rates, currencies, project status, budgets and their notes are stored with your settings, not in backups. When iCloud sync is on, your settings, including these terms, sync between your devices through your private iCloud key-value storage. App Lock, notification permission, current-location choices and list filters stay on each device. Nothing is sent to our servers.

The Watch app stores focus countdowns, first-step cues and interruption notes locally on the Watch. Optional focus and transition alerts use system notifications. Transition titles and sound are off by default. Task Timer uses the existing synced time-entry model; complication snapshots are stored locally for display.

Location And Weather

Weather is optional. Turning on the Daily Planner weather preview does not request location access. If you explicitly choose Current Location, myDailyTasks then asks for while-using-the-app location permission; authorised coordinates may also go to Apple MapKit/geocoding to resolve the area name displayed in the app before Apple WeatherKit retrieves the forecast. If you choose City or Area, the app sends the place name you enter to Apple MapKit/geocoding to resolve the forecast area and never requests device location. After a denial, Open Settings and the City or Area alternative remain available. Weather information is provided through Apple WeatherKit. Cyber AI Insights Pty Ltd does not receive or retain your place name or location through a developer-operated service for this WeatherKit feature. The separate Pollen Alerts add-on uses the service described below.

Optional Pollen Alerts

Pollen Alerts is available with a separate subscription. No pollen lookup occurs until you explicitly choose an area and have access. Apple resolves a named area or provides Current Location with your permission.

Our Cloudflare-hosted pollen service receives rounded coordinates, the forecast date and an Apple-signed subscription proof, and checks your subscription with Apple. Only rounded coordinates and forecast parameters go to Google Pollen. Medication names, doses, HealthKit records and task content are never sent for pollen checks.

An opaque subscription identifier shares one forecast update per calendar day across your devices. The selected area and forecast are retained for up to 24 hours, then scheduled for deletion; Cloudflare backup retention can last up to 30 days. Signed proofs and Apple purchase identifiers are not written to forecast storage. Shared area forecasts may be cached for four hours. Cloudflare processes connection information, including IP addresses, for short-term rate limiting.

These data are used for app functionality, never advertising or tracking. Build 48 keeps one daily forecast on the device, including its rounded area, for reuse after reopening the app. This cache is excluded from iCloud preference sync and task backups. Stale or changed-area data is discarded on the next check; changing pollen settings or resetting settings clears it. Generated reminder tasks contain no coordinates. Turn off High-Pollen Medication Reminders to stop future checks; existing tasks remain. Disabling reminders does not cancel billing. Read the Pollen Alerts guide.

Google processes requests under its Privacy Policy and Google Maps terms.

Study Data

Study stores subjects, topics, coursework links, planned work dates, deadlines and optional marks, grades and feedback with your planner data. It uses the private iCloud store when enabled and includes these records in complete backups. Apple controls iCloud delivery and timing.

Results are optional. Saving a result does not automatically create a task; Plan Follow-up Study opens a draft for your review. Existing coursework and results remain available after Study access expires and are excluded from automatic completed-task retention. Delete All Data and exact backup replacement include Study records. No teacher account or school-system connection is provided.

Files And Optional Companion Apps

CSV task import and myBudgetCanvas JSON import in earlier builds read only the file you select on the device, show a preview, and save data only after you confirm. The selected file is not automatically uploaded.

Next-build preview, awaiting real iCloud acceptance: the automatic myBudgetCanvas connection is off by default and requires opt-in in both apps using the same Apple Account. A dedicated private CloudKit container carries encrypted bill titles, dates, opaque identifiers and completion acknowledgements. It creates or updates bill tasks automatically and returns completion receipts for paid bookkeeping. Amounts, account details and notes are excluded. No payment is initiated and no spending or income transaction is created. Cyber AI Insights Pty Ltd does not receive a separate copy.

If you configure a medication ritual for myHealthRoutine, myDailyTasks can place the medication name, optional dose, completion time, and transfer identifiers in an App Group file shared with myHealthRoutine on the same device. A Blood Pressure Check ritual opens myHealthRoutine with a source label, opaque one-time token, and callback URL; it does not pass readings, notes, task identifiers, or occurrence details.

Movement Reminders — Next-Build Preview

Movement Reminders are optional and off by default on each device. When enabled, they can use explicitly authorised Motion & Fitness on iPhone or iPad and separately optional location while the app is active. They suggest pausing only a timer started on that device. Physical-device acceptance is still pending.

You choose Pause Tracking or Keep Going. A suggestion never automatically stops a timer, completes a task or changes billing classification. Keep Going postpones suggestions for 30 minutes. Closed or background apps can miss movement; manual tracking remains available.

Motion state and a temporary location anchor remain in memory. No movement or location history is saved or synced. Only local preferences and the locally started timer identifier persist. Disable the feature or change system permissions at any time; Watch tracking remains manual.

Saved Task Links

If you save a URL with a task and choose to open it, myDailyTasks asks the system to open that URL. This makes a user-directed request to the destination you selected, and that destination processes the request under its own privacy terms. myDailyTasks does not open saved task links automatically.

App Lock

When App Lock is enabled, myDailyTasks uses your device's secure storage and asks the system to verify Face ID, Touch ID, Optic ID, or the biometric method available on your device. Your biometric data stays under the device's control and is not available to myDailyTasks.

Purchases

Apple processes Premium and separate Study and Pollen Alerts subscriptions through the App Store. The Pollen service verifies signed subscription proof as described above. myDailyTasks does not receive your payment card details.

User-Directed Exports

If you explicitly export a backup or diagnostic file, myDailyTasks uses Apple's system file exporter and you choose the destination. The selected destination's terms and privacy policy apply. myDailyTasks does not automatically transmit or retain the exported file after it is written.

Website Hosting

Cloudflare hosts this public website and processes standard web request information, such as IP address, browser details, page requests, security events, and service logs, to deliver, protect, and observe the website. The current app release does not send your task, ritual, goal, or review content to Cloudflare.

Overseas Processing

Apple and Cloudflare operate global services, so personal information they process may be stored in or accessed from countries outside Australia. Apple states that personal data may be transferred or accessed worldwide and is generally stored by Apple Inc. in the United States. Cloudflare states that it primarily stores information in the United States and the European Economic Area and may transfer or access information from other countries where it operates.

Optional Pollen Alerts also sends rounded coordinates and forecast parameters to Google Pollen through our service. Google operates servers worldwide and may process information outside Australia, including in the United States. It does not receive your subscription proof, medication details or planner content from this request. This does not mean the provider stores all requests exclusively in the United States.

Review the Apple Privacy Policy and Cloudflare Privacy Policy for their current transfer, storage, and safeguard information. For the optional services, see the Google Privacy Policy and Internet Archive terms and privacy policy. A destination you choose for an exported file may operate in other countries under that provider's policy.

Third-Party Services And Safeguards

We limit what each integration sends to the information described in this policy. Pollen requests use HTTPS, round coordinates before requesting a forecast, and keep subscription verification separate from Google’s forecast request. Book lookup uses HTTPS and runs only when you choose it. You can turn off Pollen reminders and enter book details manually instead.

Cloudflare’s published Data Processing Addendum sets out confidentiality and security commitments for covered processing. Google Maps Platform, which includes Pollen, publishes service terms incorporating its Controller-Controller Data Protection Terms. Apple and Internet Archive services also handle requests under their respective privacy policies linked above. Provider processing and retention are governed by the terms applicable to the service; our Pollen forecast retention period does not describe every provider’s connection or security logs.

Newsletter Requests

If you request newsletter and release updates, the website opens a prepared message in your email app. The website does not send the address automatically. If you choose to send the message, your email address and request are received through our support mailbox and used to manage your newsletter subscription and send the updates you requested.

We keep a record of the address, request, and subscription status as evidence of consent. Newsletter messages will identify Cyber AI Insights Pty Ltd as the sender, provide current contact details, and explain how to unsubscribe. You can unsubscribe by replying to an update or emailing support@mydailytasks.app. We will action an unsubscribe request within five working days.

Support Requests And Unsolicited Information

If you contact support, we collect the email address, message, and diagnostic details you choose to provide so we can respond and resolve the request. Do not send task content or other sensitive information unless it is necessary. If we receive personal information that is not reasonably needed, we will not use it and will delete or de-identify it where lawful and practicable.

Security And Retention

Planner content remains in the app's local storage or your private iCloud storage, depending on your settings. Cyber AI Insights Pty Ltd does not maintain a separate developer-operated copy of that content. Apple controls the security and retention of information held in your Apple Account and iCloud services. The optional Pollen service has separate forecast and subscription retention, described in the Pollen Alerts section above.

We use reasonable access controls and account security for support correspondence, newsletter records, and website administration. We retain support information only while it is reasonably needed to resolve the request and meet legal or record-keeping requirements. Newsletter information is retained while you remain subscribed; after you unsubscribe, we retain only what is reasonably required to record and honour the opt-out or meet legal obligations. No storage or transmission method can be guaranteed to be completely secure.

Access And Correction

You may ask to access personal information Cyber AI Insights Pty Ltd holds about you or ask us to correct it. Email support@mydailytasks.app with the subject “Privacy Request” and describe the information involved. We may take reasonable steps to verify your identity before responding. We will respond within a reasonable period and, if access or correction cannot be provided, explain the reason and available complaint options where required by law.

Your Choices

You can delete app content, clear staged myBudgetCanvas data, disable optional companion integrations, disable notifications, manage iCloud availability in system settings, turn off Weather or choose City or Area, choose whether and where to export files, and cancel subscriptions in your Apple Account settings.

To complain about how personal information has been handled, email support@mydailytasks.app with the subject “Privacy Complaint” and describe the concern and the outcome you are seeking. We will acknowledge the complaint, investigate it, and aim to provide a substantive response within 30 calendar days. We will tell you if more time or information is reasonably required.
