Edit, repeat and organise tasks
Keep one accurate task record, with the right schedule, organisation and visibility.
Before you start
- Use iPhone, iPad or Mac. Free allows seven active ordinary tasks; Premium removes that limit.
- Open a task from Today, a day list or Daily Planning.
Steps
- Open the original taskTap the task text or planning card to edit it. Add Details and an optional URL, then save. The completion control and tag chip perform separate actions; tapping the title does not mark the task done.
- Separate the three datesSet the planned work date and optional time in Schedule. Set a reminder only when you want a notification, and a completion due date when there is a deadline. A planned time alone is not a reminder or a deadline.
- Choose recurrenceSelect Does Not Repeat, Daily, Weekly, Fortnightly, Monthly, Every Two Months, Quarterly, Half-Yearly or Yearly. Check the anchor date and future occurrences. For a routine with selected weekdays or month-day handling, use a Ritual instead.
- Choose priority, tag and stickerSet the priority letter and rank, such as A1. Priority chips provide a quick edit; Change Tag on the task menu changes or clears its tag. Tapping a tag chip can open a new draft with that tag. Choose a sticker explicitly; any on-device suggestion is applied only when you select it.
- Set reusable tag defaultsIn Settings, manage tag names, colours, weekday/weekend/anytime rules and Work association. Choose a default tag; the editor can remember your recent choice. Read the reassignment choice before deleting a tag so its tasks keep a useful replacement.
- Arrange the editorOpen Field Order and drag fields or use the move controls to arrange Task, Details, URL, Sticker, Schedule, Tag and Priority. Restore Default Order resets the layout while preserving the draft's values.
- Complete, reopen or snoozeUse the task action and confirm completion when asked. Confirm Before Completing in Settings controls that prompt. On iPhone's Today Activities, Select and Select All let you choose several items for Mark Done, Reopen or Snooze. Check the selection before applying a batch action.
- Find a hidden taskClear active filters, check sort order and the selected date, and review any Apple Focus filter. Filters can cover status, Rituals, priority, reminder/time, recurrence, carryover and tags. Use Search Tasks across dates or All Completed for retained history.
Confirm the setup is working
- Opening the task again shows the saved fields without creating a duplicate.
- A completed occurrence can be reopened; future repeating occurrences keep their own completion state.
- Today Activities shows the actual current day even when another planning date is selected.
If a repeating task is absent on a date, check its anchor and cadence rather than adding a duplicate. Some task types protect their dates or recurrence; edit the owning Ritual, goal or Study workflow when appropriate.
