Plan appointments and travel

Reserve the meeting and journey time while keeping appointments separate from your to-do list.

Before you start

  • Use Daily Planning on iPhone, iPad or Mac.
  • An appointment created here is a planner record. Connected calendar events remain read-only.

Steps

  1. Choose the day and exact startOpen the intended planning date, select a suitable empty future slot and choose Add Appointment. Check the exact start minute in the editor instead of assuming a half-hour boundary.
  2. Describe the appointmentEnter its title, duration and optional recurrence, details, link, tag or reminder. A scheduled start does not automatically enable an alert.
  3. Allow for the journeyAdd one-way travel before the appointment, or enable return travel as well. Review the return block after the appointment ends and check that neither journey overlaps another commitment.
  4. Review the surrounding workSave and inspect the timeline. A meeting can displace automatically placed Work Day tasks; manually fixed work and Rituals are protected. Resolve any remaining clash explicitly.
  5. Choose task-list visibilityAppointments remain in Daily Planning, Search and All Completed. They are hidden from active task lists by default. In Settings → General, enable Show Appointments in Task Lists if wanted; this preference also affects task-list totals and is separate on each device. Watch has its own Task Settings choice.
  6. Correct the classificationEdit the existing record and change Task or Appointment when needed. Keep the original record so its history stays connected; do not create a second copy.

Confirm the setup is working

  • The meeting begins at the chosen minute, with return travel after its end.
  • Hiding appointments from task lists leaves the timeline appointment intact.

For an event from a connected calendar, edit it in its calendar app. myDailyTasks does not change or cancel external events. If travel does not fit, adjust the appointment or surrounding flexible work after reviewing the clash.
