Populate, repair and optimise your day

Fit flexible work into available time and review adjustments when the day changes.

Before you start

  • Use Daily Planning on iPhone, iPad or Mac, with durations set for the work you want to place.
  • Premium is required for calendar capacity analysis and Optimise Day. Ordinary task and Activity limits still apply to Free planning.

Steps

  1. Set the planning boundariesIn Daily Planning Settings choose Start Time, End Time, work days, Work Day Starts, Work Day Ends and Break Between Tasks. Breaks can be 0–60 minutes. Associate work tags with Work so automatic placement can use the right hours.
  2. Check Activities and Task QueueActivities are reusable planning items with their own allowance. The Task Queue contains unscheduled tasks. Give each a realistic duration, and review appointments, travel and selected calendar commitments before filling gaps.
  3. Populate My DayChoose Populate My Day from Day Actions or the Activities area. Work-associated tasks fit configured work periods; personal work fits outside them. Check the resulting timeline and any offered additional Activities. Cancel an optional addition if it is not wanted.
  4. Repair a changed dayChoose Repair Day and then Running Late or Lighter Day. Read every proposed move or return to queue in Preview. Apply Changes accepts the displayed proposal; Cancel leaves the plan unchanged. Fixed commitments, manually positioned work, Rituals and goal tasks remain protected. Due or reminder-bound work is not treated as optional work to defer.
  5. Optimise around calendarsWith Premium and calendars connected, use Optimise Day to review how movable work fits available time. Review proposed placements before applying them. The app checks the plan again before saving; if events changed, review a fresh proposal.
  6. Resolve an individual clashOpen the calendar conflict and choose the offered Move to time, Return to Queue or Decide Later action. Returning to the queue removes its slot; check any affected reminder. Decide Later leaves the clash for your own decision.
  7. Review completion and free timeFor work spanning several blocks, choose the selected block or the whole task when completing. Completed future reservations free time while keeping history. If early completion offers Move Tasks Forward, inspect the choice or choose Keep Schedule. Future queued tasks are not automatically pulled back into today.

Confirm the setup is working

  • The final timeline respects the chosen day range, travel and fixed commitments.
  • Repair cancellation leaves dates and reminders unchanged; applying a proposal updates the original tasks.
  • The workload strip describes planned open work against the day range. A quiet day is not a failed streak.

No Changes Needed can mean the flexible work already fits. A protected or immovable task will not be rearranged just to clear an overload. Check its editor, day range and work-tag settings before moving it yourself.
