Prepare and follow up around a calendar event

Create or position planner work around a read-only calendar commitment, then review later event changes.

Before you start

  • Connect and select calendars on iPhone, iPad or Mac.
  • Premium is required for Plan for Event and event-change task actions.

Steps

  1. Open the commitmentIn Daily Planning, choose the event and open Plan for Event. Confirm its date and time before adding work.
  2. Choose what to createSet Duration, then choose Add preparation task, Add travel time, Add recovery buffer or Add follow-up task. Review the proposed work and available space around the commitment before applying it.
  3. Use only the note text you chooseSelect the event note text you want to use, then choose Create task from selected text. Check the draft and omit private or irrelevant material. Event notes are not automatically copied into ordinary tasks.
  4. Place existing workUnder Move Existing Task, select eligible work and choose Place Before or Place After. Review the placement rather than creating a second task with the same title.
  5. Review an event changeWhen the calendar event moves or disappears, review the reported change and any related tasks. Review Related Reminders lets you inspect the effect; Turn Off Related Reminders requires explicit confirmation. Done acknowledges the change without editing the external event.
  6. Check the resulting planReturn to the affected day and confirm task start times, durations, travel and reminders. If a calendar change has made the proposal stale, refresh and review it again.

Confirm the setup is working

  • The calendar event remains unchanged in its source calendar.
  • Preparation and follow-up are ordinary planner work; calendar blocks do not count as completed tasks.
  • Cancelling a proposal or reminder confirmation leaves those tasks unchanged.

If actions are unavailable, check Premium, full Calendar permission and the selected calendar. Only eligible movable work appears for placement. Edit the original event through its calendar app.
